Electronic Temporary Hiring Process: Step-by-step Instructions

  1. Department administrator creates requisition through the e-Recruit System
    1. Log into M-Pathways > E-Recruit > Create New Job Opening
    2. Select Job Family & Job Title
    3. Select "Accept Non Posted Applications" if a DO NOT POST requisition
    4. Always select "Limited" under Opening to Fill
    5. Enter the number of hires you intend to have under "Target Openings"
    6. Enter Appointing Department ID & Posting contact
    7. Under "Staffing Information" select "part-time" and enter desired hours
    8. Under "Hiring Team/Approvers" click on "Add Approvers" to enter the approvers for the posting
      1. First approver should alwasy be Sabin Catanas
    9. Click "Add Job Posting" to enter the posting description and posting
    10. Click "Save & Submit" to complete the posting process
  2. After student has been selected for the position, department administrator prepares offer in the system
    1. On the "Manage Applicants" page, select the student's name. Select "Prepare Job Offer" from the "Select Action" box
    2. Enter appt begin date
    3. Under "Job Details" enter Comp Rate, shortcode, and distribution %
    4. Enter approvers under "Offer Approver"
      1. First & primary approver should be Sabin Catanas
    5. Click "submit" to complete the process
  3. Upon notice of offer approval, department administrator modifies offer to "accept"
    1. Once the offer has been approved, the student's status on the "Manage Applicants" page will switch to "Offer"
    2. Click on the "Offer" status to open up the offer page
    3. Scroll to "Edit Offer" to modify the status
    4. Scroll to "Status" and select "Accepted"
    5. Click on "Save and Submit" to submit the change
  4. Department administrator completes the last step "Prepare for Hire" which sends the information to M-Pathways
    1. From the "Manage Applicants" page, select "Prepare for Hire" from the "Select Action" box
    2. Click "Save and Submit to HR" in order to complete the hiring process
    3. If the hiring process has been completed correctly, student's status on the "Manage Applicants" page should switch to "Ready"
    4. After students have validated their personal information, status on the "Manage Applicants" page should switch to "Hired"
